Summer 2021 - Plans, Membership Payments and Music Distribution
Summer 2021 Roadmap
At the last Committee meeting (24th March, 2021) we were very excited to start planning a roadmap for a safe return to singing together. You may be aware that our Tour Manager has been slaving away to try and bring off the postponed summer tour to York. The Committee is also hoping to be able to hold some sort of summer gathering which may take the form of a picnic concert or similar event, if possible.
We are hoping, weather, venues and restrictions permitting, to be able to hold rehearsals outdoors from May 19th, with an option to continue streaming the rehearsals for those who do not yet feel comfortable returning to group activities. Obviously, nothing can be guaranteed; every decision the Committee makes is done with full adherence to government guidelines for safe socialising and amateur music making, and with guidance from Making Music.
In anticipation of these events taking place, some members may need to consider whether to return as Full Members for this term, since both singing in the summer performance and whilst on tour will require them to have a full set of music. Members will also need to take part in the summer term rehearsals, be they in person outside or streamed/on Zoom. Members will obviously still be able to attend tour and the summer performance as non-singers.
We cannot give exact details about our plans yet, as much is still to be decided but we do hope this has given you some positive news. Lastly, please watch the video below for very important information about prompt payment and music issue and return. All information in the video is duplicated in the text below for clarity.
We would like to acknowledge and thank all members who pay promptly and are meticulous with their music. It is such a huge help and really takes the weight off our shoulders.
The last year has been challenging for so many people, in so many ways, and we are grateful to have been able to carry on singing together, albeit in a virtual format. In consideration of your hard-working committee, we ask that you please keep to the following key points and deadlines, which were mentioned in the video above:
Membership Fees & Payments, Summer 2021
Membership fees for next term remain the same:
Full membership: £65 a term
Friend Membership: a donation of at least £10
All membership payments, both Full and Friend to be made no later than Thursday 8thApril.
If you intend to change the status of your membership, ie move from Friend to Full or vice versa please let Fran know on [email protected] in order that we are aware of any changes in music requirements.
Online payments can be made to New Egham Singers: Sort Code 23-05-80 Account number 38155832 Please reference your membership payments with your surname, initial and ‘SUBS’.
If it is necessary to make a payment by cheque, please contact Fran as soon as possible on [email protected] as to where these should be sent. Please ensure that your cheque is posted/delivered to that address in time to meet the same deadline of Thursday, 8th April.
If for any reason you are unable to make payment by this date, please contact Fran on [email protected].
Remember that if you would like to take part in any in-person rehearsals, summer performances, or sing on Tour, you will need to be a Full Member. The committee wishes to reiterate that these plans are all still subject to current restrictions and may need to change at short notice. In the event that we are unable to rehearse in person or you do not feel comfortable attending in-person, all rehearsals will continue to be streamed online for Full members to take part in.
The committee have had to make the decision not to accept late payment unless prior agreement has been gained from the membership secretary. We will not be able to refund any late payments, but the payment will be carried over for the Autumn term. The committee recognises that the terms and conditions of membership state that payment can be made up to a fortnight after the start of term, but it has been decided that current conditions require us to modify this clause until further notice.
Collection of Old and Distribution of New Music
In preparation for the return of music from the Spring term, please rub out any pencil markings that have been made. NB This will not be necessary for the following pieces which are being carried over to next term:
Man in The Mirror
Oklahoma
It Don’t Mean a Thing
From Saturday 10th April until Thursday, 16th April you will be able to collect your new music from your local hub. At the same time, everyone MUST return ALL copies of the Spring term music.
This will include those pieces mentioned above in order that we can check that you are returning a full set of music. Once checked those pieces will be added to your new pack of music. Please go through your music beforehand, and make sure that you have returned everything listed on the cover sheet you were given at the start of last term.
All members who currently have individual sets of music will receive an email confirming the address of the Hub that they will need to drop their music to, along with any specific instructions that might be required.
Anybody returning as a Full member will also receive an email confirming the Hub that they will be picking their music up from.
If you find that, for any reason you are unable to drop off or pick up your music between Saturday, 10th April and no later than Thursday 16th April please see if you can make alternative arrangements, e.g. give your music to a friend to drop off and ask them to collect new music, if required.
If this is not possible, please make sure you contact Fran as soon as possible.
As always, we have an amnesty in place to accept any music which may have slipped through the net from previous terms. If you find something which should have been returned please hand it to your hub member along with your music.
Our main aim is to make sure that by Friday, 17th April all music from the last term that is no longer required is collected in and all new music has been handed out.
